The role includes but is not limited to:
Medical Administration - London Clinic
Maintain a comprehensive, secure, filing system for medical records for Chevron and Valero staff and contractors;
Co-ordinate and arrange medical examinations as requested including health surveillance, pre-employment, voluntary health programme, pre-assignment/periodic overseas, offshore medical and return to work examinations. Issue instructions for attendance
Arrange specialist referrals as required.
Type dictated/ hand written/e mailed letters regarding employees.

Liaise with the contract physicians regarding scheduling of holidays and required department cover
Maintain databases for Medical Examination Process, sickness absence and related records e.g. Occupational Health Management and other (Excel) databases.
Arrange annual Influenza vaccination initiatives including scheduling and logistics for WFC and external sites
Arrange distribution of EAP communications to Employees and contractors and utilize common spaces for posters where appropriate
Arrange Wellbeing initiative (health promotion events) as requested by Chevron or Valero
Arrange and attend weekly staff meeting
Attend the annual regional Health and Medical Services meeting
Arrange Medical Administrator locum cover.
Provide supervision of the in- house physiotherapy service
Provide supervision of the contract Ergonomist, her diary and RSI Guard scheduling and maintenance.


Medical Administration- Regional
Provide administrative support for regional Occupational Health integration
Collate Electronic Medical Database input for regional input
Arrange Medical Specialists as requested in support of medical referrals from regional business units
Assist with accommodation and local transport logistics in support of medical referrals
Collate monthly medical/ appointment statistics
Liaise with other Business units as appropriate regarding Process deployment
Liaise with other Business Units to ensure H&M internal processes are consistently deployed and implemented
Respond to expatriate queries regarding medical examinations and health related policies
Arrange annual Regional Medical meeting, arrange hotel logistics and compile and circulate agenda. Take minutes and circulate final report


Medical Administration- H&M team members
Provide administration support to Regional Medical Manager, Regional OH Manager, Contract Nursing Advisor, and Contract physicians including presentations and production of PowerPoint presentations;
Monitor, maintain and co-ordinate schedules and Calendars for Health and Medical dept. team members;
Respond to /re-direct enquiries on behalf of other team members in their absence
Book training courses, conferences, seminars for Regional Medical Manager and Regional OH Manager.
Make travel arrangements for team members, including management and maintenance of necessary visas.
Create, manage, expense reports for OH and Regional Medical Manager.
Type letters, memos and reports for OH related issues.
Assist OH manager and Regional Medical Manager by managing schedules and working on their behalf to schedule meetings and appointments


General administration
SAP & Ariba management and authorise accounts for the department;
Manage invoices directed to the department;
Assist with the monitoring of the Health and Medical budget.
Arrange and attend department meetings, compile and circulate minutes as required
Book conference rooms
Maintain visitor management system;
Liaise with CBRES (facilities management) and Valero regarding any maintenance issues for H&M department;
Edit and update Health & Medical department web page;
Requisition stationery and maintain an adequate stock of stationery;
Order equipment as requested
Open and route or respond to mail as appropriate;
Answer telephone, email or fax enquiries
Photocopy, scan and fax documents re medical examinations, results etc.
Arrange for Smartbadge/T cards to be issued to H&M contractors, new hires or visitors
Monitor and ensure all team members Corporate Compliance is completed within the required timeframe.




Required Qualifications
Demonstrates general administrative skills with the ability to work cooperatively and collaboratively in a team environment and liaising with all hierarchy levels
Experience in dealing in medical administrative duties, medical referral, liaising with specialists, requesting medical reports etc. including knowledge of medical terminology would be an advantage.
Accepts accountability and responsibility, demonstrates ability to follow current processes and working practices.
Essential to have excellent organisational skills, ability to work to deadlines with comfort in effectively prioritising and actively managing multiple tasks.
Excellent PC skills (including MS Office) are a requirement plus a working knowledge of SharePoint.
Sound business judgement coupled with an in-depth knowledge of Chevron’s or similar business activities.
Excellent interpersonal and communication skills with the ability to liaise with people at all levels both inside and outside the Company.
A team player that shows good collaboration and knowledge sharing skills, ability work with people of diverse backgrounds and cultures.
Commitment to produce accurate, high-quality work.


Preferred Qualifications
Degree qualified (or equivalent) not essential however preferred.
